Things You Need To Know About Being A Charity Auction Organizer

By Marissa Velazquez

When you have been appointed as the charity auction organizer, you will have quite a lot to arrange. However, with a few guidelines it is not such a daunting task. Auctions arranged for fund-raising purposes can also be referred to as silent auctions, and are an excellent way to make money for a good cause. Those who end up buying at the event will also feel good because they are donating to a worthy cause.

Silent auctions have this name because the bidders do not call out their offers. Rather, a piece of paper is made available and those who want to bid will write down the prices they are prepared to pay. Later in the evening, the event manager will call everyone together to say who is the lucky receiver of the item. These auctions are not just about bidding, they are also an evening out, with dinner arranged.

One person is often not enough manpower to organize a well-run event, and a team will need to be put together so that everything can run smoothly. Before anything can happen, the team must work out their budget, and put money aside for the various necessities, such as the hiring of a venue, marketing, food, etc. The arrangements that need to be made should be divided between the helpers, depending on their relevant skills. Up to twenty people may be required to help organize.

A meeting should be held to put the plan together and to determine who will be assigned to marketing tasks, venue arrangement and catering etc. The initial planning of the event is crucial for its success. In the meeting, suitable venues can be discussed. The venue will need to have enough space for the number of people that will be expected, and should be in a good location with adequate parking as well.

One should never underestimate the value of good food at an event. Although the people will be attending to bid, they will also be looking forward to a nice dinner, or at least some quality snacks. Drinks should not be forgotten as well. People will always discuss the catering quality of an event, and will be happier if this aspect is well organized.

For the event to be interesting, the right things will need to be auctioned. Most often, the organizers of the event will try to gather donations from companies who would like a bit of free advertising. Depending on the type of guests who will be at the event, these items can be priced low or high. It is always recommended to get things that will be liked by both men and women.

Besides donations from businesses, you can also consider homemade crafts or gift certificates. Services can also be used. You will need to have some large display tables, or pictures of the items if they cannot be brought into the room. Services will need to be described to the guests in some appealing way.

It is most often the case that the charity auction organizer will have to decide at which price the bidding will start. The prices will usually start quite a bit lower than their shop price. Make sure that plenty of people will be coming to your event by marketing it properly, or by sending lots of invitations.
